Penguicon Meeting Notes
(7/22/06)


1.Organization Chart – Open Slots:
Networking? – needed for someone to update the hotel’s wireless so that
we get free internet.  Need to have a meeting to find out what the
hotel wants and can afford before we choose someone to fill this
position.  Marshal said he will talk with his boss and see if anyone
there can help.  We assume that the hotel is buying the equipment, etc.
 

Sales and Marketing - We have been weak in sales and marketing.  It
would be good to have the TV people seek us out.  The liquid nitro
video with our website on it is a good idea.  

Security – John has someone in mind.  Perhaps Gail Christopherson. 
Perhaps put webcams in hot security places like the computer room,
registration, etc.  

Infrastructure - ?  It may not get filled.  Gerald can do this.  Take
messages from the other people in infrastructure and send it along to
John.  

2.Department reports
a.Programming – Matt is looking for fans to help him think of ideas for
their favorite people.  Juana Overmyer is going to help him with ideas.
 Need liasons.  Marshal said that they will probably need 100 amps of
power for the computer lounge.  Floor plans would be useful.  Where
will the chaos toy going? – In the lobby  Or in the assembly area.  
b.Dealers Row discussed but not appreciated by the dealers.  Perhaps no
dealer’s room at all.  Aaron said it was not worth the money we got
from the dealers.  Have the con t-shirt sold out of ops?  Morgan said
out of state vendors might like the hotel room idea but not local
vendors because of the cost of the room.  Have things produced by the
guests available for sale.  Perhaps try to find new vendors to make it
fresh and interesting.  Don’t have to have a lot of vendors
perhaps
just a few good ones?  Rachel W. said she was more than happy to help
if dealers want to sell from their room.  Morgan recommends at least
having one anime vendor and gaming.  He knows someone in Toledo.  

Promote booking hotel rooms early, Aaron says.  Reserve a staff block
and party room block to keep the quiet rooms far away.  Instruct the
people in sales about the blocks.  Have the green room right by the
guest’s rooms.  If smoking becomes prohibited give the smoking consuite
suite to UHAC.  Told UHAC to wait and they are top priority for getting
a suite.  Put the UHAC party on the first floor suite?  Ask if they
want one bedroom or two.  Are we willing to give this to them?  Ask
Shar where she wants her consuite to be.  Pool hours?  Will not close
it until 4 am.  Need a room key to get to the pool.  There is an
Embassy Suites across the streets and Hilton is willing to arrange a
shuttle service and have that be part of our block too.  Morgan said he
may need two rooms this year.  

3.Sales and marketing
Marshal said his boss may not be averse to sharing a table with
Penguicon at a Ohio Linuxfest.   Promotional DVD with photos and video
clips to show that we are not a business con necessarily.  

4.  Matt says he wants the programming to be most solidified by January
“wet cement.”
