A hotel contract can be done by the board.  18 months ahead of time is the 
ideal time to start location scouting.  12 months is the _minimum_ notice to 
get the A-level guests, 14-18 is better.  (Because _other_ people know about 
the 12 month thing.  Just be prepared for very squish acceptances that may or 
may not match reality.  Agreement in principle and first dibs, not a promise 
that reality will line up.)

We can basically narrow it down to 3-6 potential weekends at the 18 month 
mark, and sound out guests about what their preference will be (with a note 
that the actual weekend gets locked in when we sign the hotel contract, which 
is somewhere around 12 months before the event).  We can get availability 
before getting an actual committment.
